Operations & Administration Manager

We are looking for an experienced, value-aligned professional to work closely with the CEO to oversee daily business operations including HR, participate in strategic planning, and enable the co-operative to achieve its objectives effectively, and as an expression of our core values. 

PA Flax Project is a co-operative business focused on re-establishing the flax to linen and co-products supply chains in the Mid-Atlantic at a sustainable regional scale. We are a small team of 6 and we value our small, warm, friendly, and collaborative work environment. As a cooperative company focused on sustainable fiber flax, we attract team members with interests ranging from agriculture and farming, fiber arts, community education, to sustainable economics and business practices. We’re eager to welcome an Operations & Administration Manager to our team!

The Operations & Administration Manager will work in collaboration with our co-founders to uphold successful company operations by implementing business strategies and company policies, and by managing our key staff to drive organizational success.

Job responsibilities

Work in collaboration with Co-Founders to:

  • Set priorities for key staff based on the larger needs of the company considering grant-funded activities, company financial goals, and key benchmarks from business plan

  • Oversee worker evaluation systems

  • Monitor and revise HR systems as needed

  • Review financial and operational data to track company progress

  • Project-based budgeting, company financial forecasting and capital planning

  • Quarterly review of company books with accountant and co-founders

  • Attend quarterly Steering Committee meetings

  • Attend networking events

Independently:

  • Communicate departmental goals and expectations to key staff

  • Supervise and guide key staff to implement business strategies to achieve short and long-term company goals within clearly defined timelines

  • Ensure company policies and legal guidelines are clearly communicated

  • Oversee use of data collection software (Hubspot)

  • Review and approve/deny timesheets, PTO and comp time requests

  • Review all monthly grant invoices and supporting documents prior to submission

  • Review company expenditures monthly to ensure company remains on budget

  • Prepare semi-annual, annual, and final financial reports for multiple grants

Operations & Administration Manager Requirements: 

  • Strong analytical, critical thinking, and problem-solving skills

  • Fast learner

  • Open minded with excellent communication and negotiation skills

  • Strong analysis of racial justice, especially how it’s embedded in policy and practices

  • Thoughtful and discerning manager who is confident guiding leadership with complex schedules, varied tasks and shifting priorities

  • Good head for numbers and sound understanding of business budgeting and financial forecasting

  • Big picture thinker with a strong ability to understand and analyze complex business systems across several areas

  • Familiar with Quickbooks

  • Excellent organizational and people management skills

  • Proficient in Microsoft Office

Ideal candidates:

  • Passionate about fiber flax and sustainable industry 

  • Experience with or interest in learning about co-operative business models and community

  • Has excellent financial skills

  • Can provide inspiration, motivation and guidance to our team of directors

  • Posses superior communicators skills with internal teams, the public, and other stakeholders

  • Able to excel in high-pressure situations

  • Excels in various professional environments, from farm fields to government offices

Compensation:

  • 36 hours per week

  • In-person required w/ some flexibility (offices are in Germantown, Philadelphia)

  • $80,000 per year

  • Full health benefits & paid time off available after 90 days

This position has potential to develop into a C-suite track position. A successful candidate will be on track to lead the co-operative as CEO once Mill stabilization is achieved (target date 2030).
